Welcome to ProcessVault

Learn how to create your first procedure and get your team up and running in just a few minutes.

Overview

ProcessVault helps you capture, organize, and share your organization's knowledge through standard operating procedures (SOPs). Whether you're documenting equipment operations, onboarding processes, or safety protocols, ProcessVault makes it easy to create professional training materials.

1. Create Your Account

Getting started with ProcessVault takes less than a minute. You can sign up with your email address or use Single Sign-On (SSO) if your company has it configured.

Visit the Registration Page

Go to processvault.com/app/register to create your account. Enter your name, email address, and create a secure password.

Create or Join a Company

If you're the first person from your organization, you'll create a new company workspace. If your company already uses ProcessVault, you can join using an invitation link.

Verify Your Email

Check your inbox for a verification email and click the link to activate your account. You're now ready to start creating procedures!

Tip: SSO Sign-In

If your organization uses Azure AD, Okta, or Google Workspace, you may be able to sign in with your work credentials. Check with your IT administrator for SSO availability.

Initial Setup Wizard

When you first sign in as an admin, ProcessVault will guide you through an onboarding wizard to help configure your workspace.

What the Wizard Helps You Set Up

  • Company Information: Your company name, address, and contact details
  • Departments: Organizational departments to group users and procedures
  • Categories: Topic-based categories to organize your procedures

AI-Powered Suggestions

The setup wizard includes optional AI analysis that can suggest departments and procedure categories based on your business. Simply provide your company website or a brief description of what your company does, and ProcessVault will recommend an organizational structure tailored to your industry.

Can I Skip This?

Yes! You can dismiss the wizard and set things up manually later from the Settings page. A banner on your dashboard will remind you to complete setup if you close the wizard without finishing.

2. Create Your First Procedure

Procedures are the core of ProcessVault. Each procedure documents a specific process with step-by-step instructions.

Click "New Procedure"

From your dashboard, click the New Procedure button in the top right corner, or use the keyboard shortcut N.

Enter Basic Information

Give your procedure a clear, descriptive title. Add an optional description to help users understand what this procedure covers.

Set Category and Department

Organize your procedure by assigning it to a category and department. This helps team members find relevant procedures quickly.

Procedure Settings

When creating a procedure, you can configure several optional settings:

  • Difficulty Level: Mark as Beginner, Intermediate, or Advanced
  • Estimated Duration: Set how long the procedure typically takes
  • Tags: Add keywords for better searchability
  • Prerequisites: List any required knowledge or materials

3. Add Steps and Content

Break down your procedure into clear, actionable steps. Each step can include text instructions, images with annotations, and even videos.

Adding a Step

Click "Add Step"

In the procedure editor, click the Add Step button to create a new step. Steps are automatically numbered.

Write Instructions

Enter clear, concise instructions for this step. Use the rich text editor to add formatting like bold, italics, and bullet points.

Add Images

Click the image icon to upload screenshots or photos. You can add annotations like arrows, highlights, and text labels directly on the image.

Step Types

ProcessVault supports three types of steps:

  • Standard Step: Regular instructions with text and images
  • Decision Step: Branch into different paths based on conditions (e.g., "If the indicator is green, go to Step 5")
  • Sub-Procedure Step: Link to another procedure for modular, reusable documentation
AI-Powered Descriptions

Upload an image and click "Generate Description" to have AI automatically create step instructions based on what's shown in the image. This is great for quickly documenting visual processes.
